Delete your FiveMinder account

This page explains how to delete your FiveMinder account — the same account you use in the FiveMinder mobile app and on fiveminder.ai. You can close it yourself from the app or the website in a few taps, or ask us to do it; either way, this page sets out exactly what we erase, what we keep, and for how long. FiveMinder is operated by Fiveminder, 1685 Rue Bélanger, Montreal, Quebec H2G 1B1, Canada.
1. How to delete your account
You can do it yourself, in the product, without waiting on us — or ask us to do it for you:
- Yourself, on the website: sign in, open Profile, and use "Close your account" at the bottom of the Account tab. It takes effect the moment you confirm.
- Yourself, in the mobile app: open Settings and use "Close account" at the bottom of the screen.
- Either way we ask for your password first, to be sure the request is really coming from you.
- By email: write to [email protected] from the email address registered on the account, with "Delete my account" in the subject line.
- From the website: use the contact form at fiveminder.ai/contact and choose "Delete my account" as the subject.
- If you write to us, tell us the email address on the account, and the phone number you signed up with if you have one, so we can find it. We confirm the request comes from the account holder before acting on it, and reply within 5 business days.
2. What happens after you ask
Deletion happens in two stages, so a change of mind in the first month is not final:
- Straight away, your account is closed: everyone on it is signed out, your assistants stop answering calls, chats and messages, any phone numbers we lease on your behalf are released, and billing stops.
- For 30 days the closed account can still be restored if you change your mind — sign in again, or write to us, and we will reopen it.
- After those 30 days, the data listed in section 3 is permanently erased and cannot be recovered.
- If you would rather not wait out the 30-day recovery window, say so in your request and we will erase everything immediately.
- Deletion is finished within 90 days of your request in every case.
3. What is deleted
When the account is erased, we permanently delete:
- Your profile and sign-in details: name, email address, phone number, password, and any two-factor settings.
- Your assistants and everything configured on them, including instructions, voices, and greetings.
- Knowledge base content you uploaded or that we crawled for you, including the copies held with our AI provider.
- Conversations: chat and SMS message history, call transcripts, call recordings, and call metadata.
- Contacts and contact lists you uploaded or created.
- Credentials and access tokens for accounts you connected (Google, Microsoft, HubSpot and similar), API keys, and integration secrets.
- The telephony subaccount and file storage created for you with our providers, and the files it holds.
- Mobile device registrations and push notification tokens used to ring your phone.
4. What is kept, and for how long
A small amount of information survives deletion, either because the law requires it or because it is no longer linked to you:
- Financial records — credit purchases, invoices, refunds, and usage charges — kept in anonymized form for up to 7 years, because Canadian tax and accounting law requires it. They are no longer tied to your name or contact details.
- A one-way, irreversible fingerprint of the email address and phone number used at signup, kept so that the one free trial per person cannot be claimed over and over. It cannot be turned back into your email address or phone number.
- Aggregate, anonymized service statistics that cannot be traced back to you or your business.
- Anything we must keep to comply with a legal obligation, resolve a dispute, or enforce our agreements — kept only for as long as that reason lasts.
- Separately, our AI provider (OpenAI) may hold the inputs and outputs of API requests for up to 30 days for abuse monitoring before deleting them; this is outside our control and applies to all of their customers.
5. Deleting some of your data without closing your account
You do not have to close the account to get rid of data. While signed in, you can delete at any time:
- Conversations, along with their transcripts and call recordings.
- Knowledge base documents, whole knowledge bases, and crawled website content.
- Assistants and their settings.
- Contacts and contact lists.
- Connected accounts — disconnecting one deletes the stored access and refresh tokens immediately.
- You can also turn call recording off in your assistant settings so that new calls are never recorded.
- For anything you cannot remove yourself, email [email protected] and tell us what you would like erased. The timelines in section 2 apply to these requests too.
